PURPOSE
The Officer, Safety – Document Control will oversee the company’s documents in order to ensure regulatory, legal, and security compliance. Document Controller has the responsibility of managing documents and using document management software, updates, disseminates, publishes and archives documents at the same times informs all personnel and other stakeholders of the changes in documentation.
KEY RESPONSIBILITIES
- Schedule and coordinate periodical procedure review and updates to ensure continual improvement.
- Collect, scan and upload documents and procedures as required
- Participate in procedure review committees and effect the changes proposed by the committee.
- Ensuring that all revised procedures are duly approved in line with the established approval process.
- Liaise with training on updating of training material whenever a change in procedures occur
- Archive Obsolete documents and procedures in line with the company’s record and document retention policy.
- Optimize document and procedure retrieval as well as integrate information and procedure linkages for easy cross referencing.
- Ensure all technical documents, such as reports, Inspections, audits, PTOs, VFLs, are collected, filed and registered in system.
- Track and notify personnel of updated document and procedure versions and how to access them.
- Print and distribute documents and procedures as necessary.
- Work with procedures, documents and records across various departments, including human resources, Production, Maintenance etc.
- Develop and propose physical and electronic filing systems to improve procedure management, access and adherence.
- Maintain all safety documentation in line OHSAS and ISO45001 systems requirements.
QUALIFICATIONS AND EXPERIENCE
- Grade 12 Certificate
- Diploma in OSHE or any related science or engineering discipline from a reputable institution.
- Able to understand Company Procedures, Guide to Mining Regulation and other Zambian laws.
- Holder of a driver’s license
- Minimum of 2 years’ experience in document or records management in a mining setting
- Experience working with physical and electronic filing systems
- Ability to find and preserve paper, electronic documents and records
- Basic understanding of Safety and Associated systems documentation
- Good Computer literate
- A Bachelor’s Degree in any of the disciplines above will be an added advantage
